Vendor Information

Important Information to help your vendor experience be the best it can be!

Day of event 6/14

Address: 2151 Ferry St, Alameda

Check in at 8 AM - See check-in table for placement. Doors open to the public at 9 AM.

Parking: Cars are prohibited on the runway. Please park your cars in this lot (see pic below) or on the street. A few hand cards will be available to help you unload.

IMPORTANT: Radium Runway is an open, (can be) windy venue. Anything not weighted or secured will blow away. Sandbags, clamps, and zip ties are non-negotiable.

Come prepared to engage, not just display. The vendors people remember are the ones who invited people in and gave them something to feel, try, or take home.

What to bring

  • Sandbags - minimum 2 per tent leg or banner stand ⚠️ wind

  • Tent or canopy with weighted feet ⚠️ wind

  • Binder clips or clamps for tablecloths and printed materials ⚠️ wind

  • Paperweights to anchor loose signage ⚠️ wind

  • Zip ties or bungee cords to secure banners to your frame ⚠️ wind

  • Table(s) and chairs 

  • Branded signage: banner, vertical sign, or backdrop

  • Business cards and/or QR code to your website or booking page

  • Email sign-up sheet or tablet for lead capture

  • Product samples, demos, or a hands-on experience for visitors

  • A giveaway, raffle, or freebie to draw people in

  • Special offer or promo exclusive to GATHER attendees

  • Sunscreen and a light layer — open air, wind, and June sun

Make your booth memorable

Think experience, not exhibition.

The booths that get talked about long after the event aren't the ones with the nicest banners — they're the ones that pulled people in and gave them something to feel, try, or take home.

Offer a micro-experience

A 2-minute demo, a sample, a short assessment, a free mini-session. Give people a genuine taste of what you do.

Create a reason to return

A raffle, a stamp card, a "come back at 2pm" demo. Give people a reason to visit your booth twice.

Start a conversation

Ask a question. Put a prompt on a whiteboard. Make eye contact. This community is warm, meet them there.

Make it shareable

A photo moment, a sign with a great line, something worth posting. Your next customer might be watching Stories.

FAQs

Setup & Space

What time can I arrive to set up?

Vendor load-in begins at 8 AM. Please plan to be fully set up by 9 AM so we can open the gates on time and give everyone a chance to settle in before the energy picks up.

 

Where do I load in and park?

See the above picture and instructions. 

 

What size is my booth space?

Standard booth spaces are 10x10. Please stay within your footprint. We want everyone to have room and invite people in comfortably.

 

What time does the event end, and when do I need to break down?

The festival closes at 5 PM. All vendors must be fully packed out by 6 PM.

 

Power & Connectivity

Is there electricity at my booth?

No, there is no electrical access on site. You're welcome to bring battery-operated equipment, tools, fans, or lighting.

Is there WiFi?

No WiFi on site. Connectivity will depend on your phone carrier — service at Alameda Point can be spotty, so plan accordingly.

Can I use Square or another mobile payment system?

Yes! Square works mostly in offline mode and will sync your transactions once you're back in range. We recommend downloading any app updates and enabling offline payments before you arrive. Bring a backup — cash box, Venmo QR code, etc. — just in case.

 

Tickets & Guests

Can I bring someone to help at my booth?

Yes — each vendor receives 2 complimentary guest tickets. Use promo code VENDOR at checkout.

 

Participation

Can I take part in yoga or fitness classes during the event?

Absolutely — you're encouraged to drop in and experience the programming! Please note that you're responsible for your own belongings while you're away from your booth. We suggest bringing a trusted helper if you plan to step away.

Can I sample or demo my products at my booth?

Yes! Sampling and live demos are a great way to connect with attendees.

 

Pets

Can I bring my dog?

We love your pup, and that's exactly why we'd prefer you leave them at home for this one. With a full day of movement, music, and a crowd of wellness-curious humans, it can be a lot for even the most social dog. We want every attendee (and every dog) to have the best possible experience.

 

Sales & Logistics

Do I keep 100% of my sales?

Yes — all sales at your booth are yours to keep. GATHER takes no commission.

What if it rains?

Good question! We will likely cancel if it's really bad. We will contact you with information if the weather is not on our side. 

Can I share my booth space with another vendor or brand?

Please reach out to us before the event if you'd like to share your space. We want to make sure everything is planned and coordinated in advance.
